What personal data we collect and why we collect it
We collect a person’s name, address, telephone numbers and email addresses in order to process activity requests, residentials camps and other activities in the day to day running of Adventuring Angels. We also collect gender, accessibility requirements and ethnicity to ensure that we offer our service to all without discrimination and that individual needs are effectively met. This information is used to ensure safeguarding on all events and to process invoices where appropriate.
We will collect this information by:
- Filling in the contact form on the website (see below)
- Participants registration forms – events and training
- Health forms – residential events and high risk activity
- Photo and video consent forms
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- Process enquiries, book events, invoice for payment
- To register for an activity/camp/residential/training
- To ensure we have health records on each person in case of emergency/ill health/accident whilst participating in Adventuring Angels activities.
We use the information that you have given us in order to:
- Process enquiries, book events
- Create invoices and payments
- Provide accurate health information to health professionals in the event of accident/illness/emergency
- To ensure that all accessibility needs are met during activities.
We may share this information with:
- Health professionals in the event of accident/illness/emergency if the person concerned is unconscious or incapacitated.

Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Who we share your data with
Personal data is only share with a medical third party (for example ambulance/doctor/medic) with your consent on the health form.
Photos and videos will be shared on the Adventuring Angels website, newsletters, Facebook page and other social media pages to promote the business only. These will only be shared with your consent on the photo and video consent form, all photos will be pre-verified by the parties concerned before publishing to obtain a second consent.
No other personal data is shared with a third party.
How long we retain your data
Personal Data will be permanently deleted within a week after the event unless you opt in to our mailing list and newsletter.
Financial data will be stored securely in the accounts and invoicing methods indefinitely purely for accounting and auditing purposes.
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data
Visitor comments may be checked through an automated spam detection service.
In the event of running funded projects, data may be shared with the funding organisation to measure impact and outcomes. These occassions will be clearly communicated at the beginning of engagement with the usual option to opt out of any data sharing activity. All additional data sharing activity will be updated in this space before any activity commences.
How we store your data
All digital data is stored in password protected cloud storage. All paper copies of data will be stored in locked filing cabinets in a secure area. No data is kept any longer than is necessary to ensure a smooth bespoke service. All data is disposed of in a timely and confidential manner.
